Buggish: MS Teams Unable to Login. We've run into an issue. Oops, something went wrong! (Part 3) With Workaround

As of 2024-12-09, I am still getting this error but after messing around a bit, I think I may have found a workaround.

Workaround

It seems like you cannot login when you get the error. This time I decided to click on the chat. Nothing loads but now the usual profile icon shows and a banner to login also shows. If the banner doesn't show, the profile options should have the option to sign in.

After signing in, some things may load. For me, it loaded three or four of maybe eighty or hundred of chats I should have. The profile icon doesn't show nor does the status.

As with the prior login issue, reloading the application after signing in with the issues will then finally load properly.

At least, I can use the app in the morning now. I am not sure why waiting several hours will also reach the same state.

Possible Alternate Workaround

May be able to skip a step above by trying to sign in before closing the app if the option is available. Also closing the app before calling it a day seems to also bypass the issue.

Now that I am writing this alternate workaround, I think there is a possibility that the issue may be with the login token not expiring properly. To make a guess, it may be that it is reusing the token that expires in 24 hours. The reason I have to wait for it open again is that I am waiting for the 24 hours to expire. Closing the app probably removes that token properly. Signing in also kind of removes the token but the app still may be continuing to load so therefor only loading parts of the configurations. And for some reason, closing the app after getting the error does not remove the token properly.

Work Life: (Exempt) My Personal Advice to Avoid These Steps on Your Yearly/Periodic Review or Interview or Status Update or Self-Evaluations

I have been working professionally for 15+ years, and I have coached quite a few colleagues and friends what I have learned the hard-way. Many who struggled with promotions or raises have found success with my suggestions.

For this article, I'm going to use a scale of 1-5. 5: Beyond expectation; 4: Meeting expectation; 3: Sometimes expectation; 2: Well below expectation, possible suspension; 1: Likely to get fired soon. Some companies have more points; some put different names to them; some also in reverse order. In my personal opinion, they all basically boil down to this type of model based on the results of my reviews.

This is also primarily for paying jobs where the work is not very well defined (exempt, no overtime pay) versus most hourly jobs (non-exempt). My experience is also wholly in the white-collared world. This may also work for blue-collared work too.

Give Yourself Full Score if You Do Not Know Your Benchmark

If you do not know your benchmark for scoring, give yourself the full score even if you believe that you deserve a 3 or even a 2. Force your employer to explain to you why you do not deserve a 5.

The only exception to this is if your employer already gives you feedback on a regular basis. In that case, make sure that you fully understand what is being asked. You should make sure that you do understand when you receive those feedbacks. But if it is too late to fill in your self-eval, then put in a higher score. Don't put it too high as you may appear that you didn't get anything out of your regular reviews.

I have also never experienced nor heard anyone experience any negative effects of giving themselves a 5 even if it is obviously not a 5 work. Still use some judgment on whether your manager is the type to take offense. My work has always been 4-5. I do get some 3s but they are primarily for skills I do not have the opportunity to do. The most common one is improving company core values. Which I believe they default for everyone. But I still give myself a 5 just to hear my manager tell me that it is basically defaulted to 3 for everyone. This is when you learn this is whole exercise is quite pointless. But since it is required, I suggest everyone to make use of this to get as much information as they can from it.

Do not mistake that the score is for you to guess what you think the company thinks of you. This is what you think of yourself. If you believe you meeting expectation, then give yourself that score.

The main reason for this is because most managers also have no clue. Your problem is if you give yourself a 3 and a non-deserving person gives himself a 4, then you lose out. The manager won't even look or reconsider. You are automatically filtered out. HR has even less clue. Most do not even know your name.

Last is that it may even be potential that your work is a 5 but you don't know it! Maybe you thought all that training was normal, but you don't know that you produced the best candidates. Another scenario is that your group outperforms another group. You may be average in your group but still outperform another group top performer. As mentioned earlier, let the company tell you why you don't deserve it because they will happily let you keep your 4 even if they believe you deserve a 5 or even a 5+ because 4 is cheaper for them.

Keep Track of Your Own Activities

Keep track of as many activities as you can do without impacting your work, because you are bound to forget them by review time. By activities, I do not mean just big projects. I mean meetings you hosted, important meetings you attended, any exceptions to your normal role, people who trained (or partially trained) even if it was only 30 minutes, documentations created. Many people I have coached assume these are small tasks so they do not record these information.

The problem is that some of these small things amount to big things. The difficulty of tracking these is that it is too late by the time it becomes a big thing. For example, I had to do a presentation on our internal processes. Managers loved it and had me present more. My roles have been development or process management, and no one else in my role or level presented. So by the time I had my review, I can only said that I spent significant amount of time training. Which they down-played because what is "significant"? When I started tracking numbers, this became much easier to present and leverage myself to my needs.

Ultimately, you are trying to justify your time. There is approximately 2000 (50 weeks of 40 hours) hours of full-time work in a year.

Also see Give Managers Ammunition.

Give Managers Ammunition

Most managers have absolutely no idea about your quality of work. A decent one will at least vaguely know if you are better than someone else. If you think it is difficult to give yourself a number score, imagine having to give a number score to someone else?

So help your manager fight for you. This is where your self-evaluation and your list comes in handy.

In reality, most managers don't know what to do. So it makes it easier for your manager to stand out if you give him some information that helps him leverage for you.

Start with not lowering your score. If you give yourself a 4 but in reality you are a 5, it is an uphill battle for your manager to explain why you should be a 5 when you gave yourself a 4. The manager also plays a similar game with their managers. Not all managers know where they stand among their peers either so you may be shafted for having a 4 in an outstanding team versus a 5 in an underperforming team. At least with 5's, the discussion can be had.

When that discussion can be had, it is typically pretty easy for managers to impress too with data. For example, 2000 promotions may be normal for me but that sounds impressive to upper management. Especially if a peer group does not provide any numbers at all. 2000 can be a crappy number in reality, but the perception is that my manager appears more prepared. The more data, the harder it is for a competing manager to leverage the benefits. Number of resolved tickets, requests, time-to-completion.

As I have repeated a couple times, this can only be done if that information is provided.

Not Everything Needs to be Monetary Compensation

With large corporations there are limits to a raise, the timing may not be correct. With small companies, they may not have the funds. Or your manager may be weak in fighting for your values.

Negotiate training time, bigger budget (or get a budget) to purchase work related products or software, promotion in name only (even just a jr to sr, or level 1 to level 2; make up a new position if one doesn't exist... this is free to the company), etc.

These are investments that you can use in the future when money becomes more available (whether that money comes from your current employer or future employer). If current employer does not honor your value, then other companies can at least justify the higher salary.

Don't Work Overtime Except for Exceptional Reasons

At least start reducing your overtime hours. You will never be able to reduce your hours until you decide to. Do not wait until you have a new member in your team.

Why? The reason is quite simpler than you think. No one tracks the hours of salaried employees. Most managers barely know the hours. Even if they do, most likely they are also working overtime. Because no one knows, upper management only compares your work to the calendar.

So let us say that you did 100 tickets over 80 hour work week. Because upper management don't know the hours, to them that is 100 tickets per week. If they hire a new person and assume that person is your clone, if you both work 40 hours, you still get 100 tickets completed. To upper management, they do not understand because now you are completing the same amount of work for the double the cost.

Along similar reasoning, if you were given a raise for working 80 hours and you are now working 40 hours, then upper management cannot justify your salary. So it is important that salary is in-line with your base hours otherwise it will be very difficult to ever return to normal hours.

If you are already doing extreme overtime, the path of least resistance is to slowly reduce your hours and let things fail. This requires you to set the proper expectations and "upset" some people.

Business is not perfect so some overtime is acceptable if it is seen as an exception. Once that overtime becomes a household name, then things get more complicated. Even reducing salary is more complicated than you'd think.

Overall, personally, I think it is good for both company and employees that expectations are set properly for the long-term. This is a difficult track because most managers do not know how to overlook short-term gains over long-term gains but it kind of starts with a person. "It's all business" will dictate that if someone is willing to put themselves in position to do more work for same or less pay, they will continue to exploit it.

This was a long round-about way of saying to avoid using overtime as a reason to get a promotion or a raise. Use overtime to get a bonus or other one-time benefits so that it is not tied to your base work. Once it is tied to your base pay then you will have a difficult time separating the two if you ever wish to work normal hours again.

Exception is if you plan to continue to work overtime for the remainder of your tenure of that job. I specifically use job and not employer is because one of the easier methods to get out of the downward spiral is to apply for a new role. The farther the role is from the original, the easier to start over.

Work Life: Another way to rename a file is to move it

Sometimes I do not learn my own lessons very well and having to re-invent the wheel each time. The latest example is for renaming SSRS reports. There is no option to rename, so I have just been deleting and uploading with the new file name. I knew this couldn't be the answer, so I kept searching because my initial searches didn't come up with the answer. Eventually finding out that I just had to move the file to the same location with a new name which to my embarrassment, I have also used. It just never clicked.

A palm to forehead moment would occur a few seconds later where I have used this solution elsewhere in my past. I cannot recall at the moment but I definitely had to do this before. Then it just evolves to just shaking my head.

Workaround: Infrastructure messed up DNS hostname and I can no longer access a server but server is up

I have a custom tool that uses server name to access server as that is the highly recommended method to access servers. Suddenly I no longer can access a server. I can no longer remote desktop or ping. Ping is not just a timeout but does not even resolve the name. I really, really, really wanted to avoid having to modify my configurations for a temporary change of a hostname to ip address.

One major reason that I want to avoid this is because Windows is extremely finicky about what users is logged into the server. I have to use a special admin account to login not the default one that I use to log into Windows (which also translates to the default IIS user that the web tool uses). Resetting this password to set a new password is still unclear and very messy. The cleanest method that has worked consistent is just to reboot the entire server which runs other web applications.

Anyways, I recall during a cloud custover where we used the host file to resolve names that have not been set up yet. I used to use this for web hostnames. I thought it was worth a shot and found that it also works for network folders.

The file for Windows 10 is located at (default) C:\Windows\System32\drivers\etc\hosts. You may need to run the text editor as administrator for this to save. Anyways, this saved me a lot of time and the hassle to revert it back once infrastructure team fixes the issue.

There should be a cleanup to remove the entry in the host file. I am likely to forget this as I probably will soon to forget to follow up with infrastructure team on my ticket.

Buggish: Visual Studio, "Element [elementName] is not a known element" warning

Visual Studio 2019

I get the errors below randomly. Suddenly while programming the ASP.NET page, my elements will suddenly have the green squiggly warning that my basic ASP elements are not known elements. I have yet to figure out the cause or reason for this to happen, but it does happen somewhat regularly perhaps once a week (of 10-20 hours of programming).

This is purely a syntactical bug, because I can still compile and run my program. It does not interfere with executing the project, but is super distracting.

My Fix (Updated 9/2/2021)

Issue has increased a bit in the last month but still on the rare side. Fix is still to just close the ASPX page then re-opening.

My Fix (Updated 4/29/2021)

For the last few months, I found that closing the ASPX page, then re-opening also resolves this issue. This is way faster than my workaround from June.

In the last couple months, I have to say that I haven't noticed this issue. Not sure if maybe I do it so reflexively that I do not notice or that it hasn't happened. I have thought about this until I was skimming over some older posts.

My Fix

1. Clean solution
2. Clean project
3. Restart Visual Studio 2019

I don't know why this fixes the problem. This is my current de facto fix and has worked for the last month. Before that, I some times skipped #1 or #2. Sometimes it worked, sometimes it didn't. Eventually, it just wasn't worth the time to skip one or the other.

  • Element [elementName] is not a known element
  • Element 'Button' is not a known element. This can occur if there is a compilation error in the Web site, or the web.config file is missing.
  • Element 'GridView' is not a known element. This can occur if there is a compilation error in the Web site, or the web.config file is missing.
  • Element 'TextBox' is not a known element. This can occur if there is a compilation error in the Web site, or the web.config file is missing.

Interview: Have You Experienced Something (When You Haven't)

I had an interview when the interviewer asked me to describe an experience when I had direct influence in pushing an agenda in a release last minute for a role in release management.

I am paraphrasing the question as I cannot remember the exact wording of the question, and also that he repeated the question a couple more times with different words.

My Response

My response was on the line that I had never had to step-in to "force" a deliverable to be in a release. The reason I believe that I do not have these situations in my 8 years as release management is due to my ability to bring people together to re-evaluate the situation and re-prioritize the work. Development team can only do so much in 24 hour days, and there is a limit to how much can actually be done no matter how many people you throw into the issue within a short period of time (ie last minute). Both teams have had little issue with my methods. I manage the most applications on the release management team, so I handle a lot of different teams. I have had good reviews, and no one has complained of my methods.

I wish I responded that eloquently on the interview, but the bulk of the message is there.

My Reaction to the Questions

Oddly enough because the interviewer was really stressing this question, I was suspecting there was so underlying issue at the company especially in the release management role. I tried to address this concern (unsure if that really is the case). I mentioned that specific task really lies on the product or program owner. I am not shy on taking on other responsibilities or going beyond the traditional bounds of the release management role to get things done.

My Personal Thought on Result

I do not think I passed the interview, unless the line of questions was to try to incite some reaction from me by asking the same question differently. At the end of the interview, the interviewer also did not seem interested in answering my questions. I do not believe that I answered his question.

Post-Interview Thoughts

I spent too much time rewording my initial answer to answer his follow up questions. I should have redirected the question so that he gave me a scenario and I would then describe to him how I would have handled it. Thinking back on it, I think that would have been the best method to clarify the concern or at least in some way to side-step the initial question.

Buggish: MS Excel not autofit row with wrap text

Symptom: When I double-click on the left row index where you normally click to resize the row, nothing happens. In most cases this works, but for some "random" reason this does not work all the time.

Possible workaround: Make sure the zoom is at 100%

Notes: I tried to find a solution online but almost all the pages either say to make sure wrap text is enabled/checked/high-lighted/etc or that there are no merged columns.

I cannot believe I lived all these years with this problem with such a simple "fix".

Although some say only with 2010, I want to say that I have faced this problem with all versions of Excel or the very minimum the last several iterations before 2010. I have not had the pleasure of using later versions.

Buggish: Windows 10 Context Menu Does Not Disappear (right click)

Problem: Right click on any windows entity that creates a context menu (the menu that appears after right clicking), then click on any of the options. Once clicked, that option "never" disappears.

Trigger: I have not determined what triggers this problem. It is repeatable once it is triggered though.

Workaround: Lock screen and log back in. I think anything that will refresh the whole screen.

Fix:
1. In the Windows search, type in Performance and look for Adjust the appears and performance of Windows
2. Look for the option for Fade out menu items after clicking
2.a. For me, the Performance Options window was already open to the list of options under custom. By default it is under Performance Options > Visual Effects > Custom > Fade out menu items after clicking.
3. You may need to use the workaround one more time.

Once I logged back in, the error no longer occurred. I just fixed the issue and have not rebooted. Hoping this is a permanent fix.

Blogger's Ads Location Change after Implementing Google+ Comments

For a while, I was wondering why all of a sudden my CPC disappeared. Especially with a sudden increase in traffic, I should have statistically maintained approximately the same rate. I was only getting perhaps one click to two clicks per month so I thought maybe it was a fluke.

Then I realized that in the single post view, the ad's location changed from middle of the page between comments and post to the very end of the page (after the comments). In addition, the Google+ style comments take up more space than the default blogger comments thus pushing the ads further down.

Then I started looking into how to move the ad back to being above the comments. This actually took a little longer than I expected. The code needed is in Template > Edit HTML, not under Layout. In the Edit HTML mode, there were a lot of tags to filter through so I searched for ad. After going through a few, I found this block for posts (e.g. ).

Took me a couple minutes to wrap what is going on here. I saw a section that would be near the location of where the ads were (i.e. near the bottom). I thought about moving this block, <b:if cond='data:post.includeAd'>. Then noticed it has some end statements.

Seeing <data:adCode/>, I guessed this was the specific line for the ad. I moved this up between posts and comments. I included additional parameters to mimic the original location:
        <b:if cond='data:post.includeAd'>

            <data:adCode/>

        </b:if>

I am not exactly sure what <data:adStart/> is supposed to end so I left that in its original location. It is odd because adEnd is above that line and when it is not the first post. Either case, I tried the code at this point and seems to have moved it to where I want it to be. Now I just have to wait and see if the clicks return to know if it worked completely.

Here is my hacked up code block I eventually ended up with:

      <b:include data='top' name='status-message'/>

      <data:defaultAdStart/>
      <b:loop values='data:posts' var='post'>
        <b:if cond='data:post.isDateStart'>
          <b:if cond='data:post.isFirstPost == "false"'>
            </div></div>
          </b:if>
        </b:if>
        <b:if cond='data:post.isDateStart'>
          <div class="date-outer">
        </b:if>
        <b:if cond='data:post.dateHeader'>

<data:post.dateHeader/>

        </b:if>
        <b:if cond='data:post.isDateStart'>
          <div class="date-posts">
        </b:if>

        <b:include data='post' name='post'/>
        <b:if cond='data:post.includeAd'>

            <data:adCode/>

        </b:if>
        <b:if cond='data:blog.pageType == "static_page"'>
          <b:include data='post' name='comment_picker'/>
        </b:if>
        <b:if cond='data:blog.pageType == "item"'>
          <b:include data='post' name='comment_picker'/>
        </b:if>

        <b:if cond='data:post.includeAd'>
          <b:if cond='data:post.isFirstPost'>
            <data:defaultAdEnd/>
          <b:else/>
            <data:adEnd/>
          </b:if>
          <data:adStart/>
        </b:if>
      </b:loop>
      <b:if cond='data:numPosts != 0'>
        </div></div>
      </b:if>
      <data:adEnd/>

Buggish: User Profile Service service failed the logon. User profile cannot be loaded. (Microsoft Vista)

I was called to assist a family friend's mother who ran into an error with her laptop. Here the problem would have been a little more useful if they had told me what the problem was before I arrived there. The problem is that the user received an error the the profile cannot be loaded once they enter their password.

This made it rather difficult to troubleshoot because I cannot log in to figure what information is missing. Unfortunately, this was also the only user created on this machine. So to get into the machine, I had to reboot the system into safe mode. For Vista, this is F8 during the OS load screen.

Once in the OS, I looked up the error which I came across reference-1. I picked the registry fix:
1. F8 in Windows load screen
2. Safe Mode
3. Open to registry location: [HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\ProfileList\
4. Look for profile that matches the login in question and there should also be a bak version of the key
5. Rename the main key to another name (I added .bad)
6. Rename the backup key without the extension (remove .bak)
7. Reboot, and this fixed my problem

I then created a backup of the registry file (saved in a folder in the documents folder) so that it could be easier for the user to fix this problem in the future:
1. F8 in Windows load screen
2. Safe Mode with Networking
3. Open My Documents
4. Open old computer backup
5. Double click FixUserProfile.reg (although .reg may not show but should be the only file in the folder)
6. Reboot, and this should fix the problem

Worst case if you dont have a problem to work with, below is the keys needed within the registry profile (modified some values to remove identification):
[HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\ProfileList\S-1-5-21-XXXXXXXXXX-XXXXXXXXXX-XXXXXXXXX-XXXX]
"ProfileImagePath"=hex(2):00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,\
  00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00
"Flags"=dword:00000000
"State"=dword:00000000
"Sid"=hex:00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,00,\
  00,00,00,00,00
"ProfileLoadTimeLow"=dword:00000000
"ProfileLoadTimeHigh"=dword:00000000
"RefCount"=dword:00000002

"RunLogonScriptSync"=dword:00000000

Work: MS Outlook hangs when opening a meeting invite

This suddenly happened to me today when opening a meeting invite today. The odd thing is that it is the only meeting invite that I unable to open. All the other invites are ok.

System Background

MS Outlook 2010 (desktop client, not OWA), Windows 7 Pro

Basic Troubleshooting

Restarted Outlook, restarted computer

Other Odd Behaviors

  • One coworker is having the same problem. Two others have no problems.
  • I was able to find the original invite. I noticed that I received 3 copies. I am able to open the first invite, the other two I am unable to open.
  • A coworker forwarded me the same invite, and I noticed that I received 3 copies just like the original. I do not know why that happens. I do not get it with other invites. Also, I am able to open the first but not the other two.
  • I noticed after a few minutes (about 3-5 minutes) the meeting will eventually load in my preview screen.
  • Appears that the problem is with loading the calendar which has "searching for this meeting..." although this is not a problem with the first email (by first I mean the first received email even though they all have the same times on it).
  • Rebooting machine does not fix the problem.

Exiting Problem

I cannot do anything else with Outlook once I attempt to open the broken invite. I end task the outlook. Reopening will allow me to do other tasks.

Conclusion

No fix yet except to wait 3-5 minutes. It has taken my coworker up to 10 minutes to open.

Review: ChromeCast (2 month impression)

I still enjoy Google's ChromeCast. I use it primarily to stream to my TV from a PC browser. The ChromeCast device is very simple to move it from one TV to another within the same network. I am not sure if there is more setup if the network is changed. A friend was even able to broadcast from his Samsung tablet.

I have figured out one of the problems with the lag with ChromeCast (as noted in a previous post). After a few hours of use, the stick becomes really hot. I think this has an impact on its performance. To test this hypothesis, I turned off the streaming for a few minutes. This resolves all lag issues for a while. If I streamed immediately after turning the stream off, the lag still persists. Over a few days, I have also tried with cooler and warmer environments (primarily me having the A/C on or off). Performance seems to degrade faster when it is off where the room is noticeably warmer (probably around low 80s). Performance seems to last longer when in low 70s. My guess is that the temperature has an impact on the rendering of the video. The device becomes pretty hot to the touch but not burning (at least for an adult).

Work: Found Workaround when SharePoint view broken

I am still not sure why our views are at times broken. We receive an error that the data is not available but yet if we go to the all items view, all items are returned. We do not have access to the admin schedule so it possible that there are things happening in the back-end.

Whatever the case may be, my workaround to this is to click on the table section of the webform then export the data to Excel. The reason we need this is because we use this view in meetings to display what items need to be reviewed. Without the list, we are pretty much stuck and cannot continue.

I tried to play with some configurations in hopes to refresh the view to display. The problem seems to be only with this one views on a specific list (which is also the list we use the most). We have other lists but those lists does not appear to be impacted yet, although they are primarily all items views too.

Coding: Error running Eclipse with 32-bit Java

I get this error because I had Java 32-bit running and a 64-bit version was needed.
Java was started but returned exit code=13

I had Eclipse and Java installed a long while back, and was pretty sure that Eclipse was working before distracted by other projects. Coming back to it to work with Google Apps, I received the above error. After some trial-and-error, I finally found a post that it may have to do with the Java version. I had to download the 64-bit version. I am not sure why I thought Eclipse had worked before. Whatever I had thought, the 64-bit version of Java fixed this above error.

HOWTO: Google Chrome Remote Desktop - Change Pin/Password, Forgot Pin

This took me a while to figure out and could not find a satisfactory solution. I was testing at first and just used a test pin since I didn't have a 6 digit pin readily thought through, so forgot what PIN that was.

1. Open Google Chrome
2. Go to Settings
3. Click Extensions
4. Find Chrome Remote Desktop > Click Visit website
5. Click Launch App
6. At the bottom of the page, there is a link at the bottom of the page "Change PIN"

This is on Google Chrome on Windows 7.

Reference

If the above does not work, try the links below in Google Chrome, but I'm not sure if these will work. It works on my pc but unsure if keys are specific to my install
https://chrome.google.com/webstore/detail/chrome-remote-desktop/gbchcmhmhahfdphkhkmpfmihenigjmpp

You may have to copy/paste this manually:

Update (4/25/2021)

Please note this post was created in 2014. Many of this information is probably obsolete. I may have used Google Remote Desktop another month after this post, so I cannot share what the new process is. If someone would like to provide a link to a modern process, I will post this here.

Work Life: SharePoint 2010 - Creating Workflow Error

The list of workflow actions on the server references an assembly that does not exist. Some actions will not be available. The assembly strong name is Microsoft.Office.Workflow.Actions, Version=14.0.0.0, Culture=neutral, PublicKeyToken=71e9bce111e9429c. Contact your server administrator for more information.
For me, I had to restart my SharePoint Designer which fixed the problem. My guess is because I opened it yesterday and left it open overnight. My VPN disconnected as usual when my machine goes to sleep-mode.

Here's another site that looked promising, but appears to require access to the server:

Work Life: Windows Shared Folder

Sometimes you do not have control over how teams manage their files. Here are some of my thoughts when they use Windows folders without source control.

Cons

Version Control

One common occurrence when you have multiple people working on the same files is that someone may override another person's changes. This could occur maliciously or innocently. There is a good chance that if multiple people are working on the same file that they replace the files around the same time. The last person may not have known the file was just updated during the time they were uploading the changes.

Folder Structure

Unless there is an enforcer, everyone has their own breakdown on how data should be broken down or sorted. For example, internal processes could be broken down as Internal > Processes for someone that deals more with internal team vs external teams or Processes > Internal for someone that deals with processes vs templates vs administration.
This process breaks down further when someone is tasked to upload a file to the shared drive without clear knowledge on how all the folders are structured. Thus oftentimes, the person will just create another folder in what they think would be the best bet. A clear indication of this is when you find a lot of folders that have a single file in it.

Duplicate Files

Due to the cons of folder structure, there is also a good chance that users upload the same files in different locations. Although this is also possible in other file sharing solutions, most of the other solutions do have search which help reduce this possibility. Microsoft's search within network folders is less reliable than local files which also is not always reliable.
This makes it difficult for a new user to know which is the official file to use (assuming the person finds both files).

Naming Convention

Due to the above limitations, people have come up with different workarounds. One of the most common ones is to append new, updated, backup (bkp), or a date. After several versions, more files are stored where most will never be used again. By the time that such files may have use, there will be confusion if 'new' is newer than 'new2' or 'new new' or 'newer' or 'newest'.
Sorting is also quite difficult especially if a date is used. Most people like to use the MMDDYY or MMYY or MMYYYY. When the dates spans multiple years, the files no longer sort in chronological order because alphabetically 02.2014 will come before 03.2013, where it should be 03.2013 then 02.2014. Sorting also becomes even more difficult when different delimiters are used: periods, dashes, subscores, spaces.
There is also confusion with MMDD with small values because it is not intuitive whether the file is MMDD or DDMM or MMYY (for example 0102). The problem with MMDDYY is similar in that it can be confused with YYMMDD, for example 010203. The year will eventually need to be appended because theoretically 50% of new files will be created in the second half of the year and 25% in the last quarter. Continuing the same process will likely extend to the following year. Now, the user can either update all the files or they create even more subfolders which is just more overhead or clutter the shared drive.

Best Practices

These are some practices that I like to use.

Dates

I recommend that people use YYYYMMDD if they have to use dates. There are two benefits to this. First, it is clearer that the first part is the year (primarily because the years will never be less than 1200 and months will never be 20+). If for some reason the date is for earlier than the 13th century, use some sort of delimiter. A delimiter could be useful in either case and should be decided by the team. Removing the delimiter is useful in reducing file length which some systems still have issues with. Second, the file system will naturally sort pseudo-chronologically (pseudo because it still sorting alphabetically).

File Backup / Version Control

I recommend that you make a copy of the file you are going to edit then rename the file with the current date (YYYYMMDD). When ready to publish to someone else, copy the file again but rename without the date (assuming you do not want to include the date for aesthetic). This will prevent someone from accidentally click save and override changes by accident. This also prevents file locking issues (use your userid if someone else is modifying the same file). And this is somewhat like version control. If additional backups are needed in the same day, unique identifiers can be added to the end of the file. They should avoid using adjectives, preferably another count for example 20140101.01 or 20140101.01.myid (to identify who owns this iteration). A policy should exist that these exceptions should be deleted at a future date to cleanup and declutter the shared drive.

Folder Structure

There is little that can be done to enforce folder structure especially when managing multiple environments and multiple teams. Ideally, a desired file can only go into one folder or the other, for example internal or external, process flow or templates. This way of thinking would cause increase levels of subfolders which is also undesirable. A user should be able to navigate to their desired files around 3 levels. Any more, the folders have to attempt to be as exclusively mutual as possible.

Buggish: Curly Braces with Confluence v5.1.5 (Jira) and SharePoint

I continue to have issues with the links from SharePoint due to the curly braces. I had hoped the Wiki upgrade would have resolved this which it kind of does.

The editor no longer has odd behaviors when saving and editing the links where the text/link combination kept growing each time the page was edited and saved. But, it does not fix the link issue.

Now, the issue is that the link appears but is not a hyperlink. Also, the curly brace at the end is not made part of the link. This behavior seems to suggest to me that there is a conflict with the editor interpreting part of the link as a macro.

If I removed the curly braces, the link becomes clickable. Thus, I still use the same workaround as before.

Review: SharePoint 2010 - Designer Email Editor, Calculated Column - Left, Substring, Right

Summary

Cannot be done in the Email Editor, but there is a crappy workaround with Calculated Field.

Backdrop

I did not have a say in the design of our group's SharePoint site. It was not designed using a normal form. I have found my way into the designer to play around with some of the functionality because I need a way to get a substring of a field. The 'developer' working on this does not seem to understand what a substring or text manipulation is. Since I am not familiar with SP, I am playing around to see if I could "point" him the right direction after I figure it out.

Details

There does not appear to be any text manipulation in the email editor. Alternate solution is to create a calculated column.

I need to provide the last item in a comma delimited field. I found this was impossible if there were more than two items unless there were more parameters to FIND or a FINDLAST function. FIND will return the first comma while I need the position of the last comma. Without a loop, there is no way to navigate to the last comma.

Fortunately since I am entering the data, I decided to enter the late item at the start of the field. Thus switching to the LEFT function and FIND the first comma. While writing the function code for this, I ran into a few unexpected errors.

The primary problem is that FIND returns an ERROR if a comma is not found. I was expecting a 0 or a -1 or a false. To get around this, I had to use ISNUMBER which then returned either a 0 or a false (documentation says Yes which I seem would be No for false).

At least this does not cause problems if there is an ERROR, the display will just be #ERROR#.
